Stanford Club of Washington (SCW)
   The Stanford Club of Washington, as a branch of the Stanford Alumni Association, seeks to reach and engage all Stanford alumni and parents in the state of Washington, and especially in the greater Puget Sound region. SCW's purpose is to foster a lifelong connection between the University and its constituency and to bring the Stanford experience to Washington. To achieve this, SCW shall provide social and educational events and opportunities, both ongoing and occasional, to its members and others in the local Stanford community.

Stanford Alumni Association (SAA)
    The Stanford Alumni Association seeks to reach, serve and engage all Stanford alumni and students; to foster a lifelong intellectual and emotional connection between the University and its graduates; and to provide the University with goodwill and support.
          SAA President: Howard Wolf

SAA Regions Department
To provide opportunities for all Stanford alumni and parents to connect intellectually and emotionally to Stanford, to strengthen their relationships with one another, and to foster a sense of Stanford community where they live.

The Bylaws of the Stanford Club of Washington (SCW)
I. NAME: The name of the organization shall be the Stanford Club of Washington.
II. MISSION STATEMENT: The Stanford Club of Washington, as a branch of the Stanford Alumni Association, seeks to reach and engage all Stanford alumni and parents in the state of Washington, and especially in the greater Puget Sound region. SCW's purpose is to foster a lifelong connection between the University and its constituency and to bring the Stanford experience to Washington. To achieve this, SCW shall provide social and educational events and opportunities, both ongoing and occasional, to its members and others in the local Stanford community.
III. MEMBERSHIP: Club membership is open to all alumni, faculty, staff, current spouses, Stanford students and parents of current or past Stanford students. Club members need not be members of the Stanford Alumni Association. Membership is divided into the following catergoris:
A. Member: Any person with the appropriate Stanford affiliation who completes the electronic or paper registration process as promulgated by the Club from time to time. B. Supporting Member: Any Member who pays such annual memberhsip dues as the Board may determine from time to time to support Club operations. The Board may make available special benefits or discounts on Club events for Supporting Members. The term of Supporting Membership is one year, beginning Spetember 1. Supporting Members who join after April 1 will be considered members for the following year as well.
The board may assess a surcharge as it shall determine from time to time for Members who elect to receive communications via postal service to defer the costs of preparation and mailing of such communications.
IV. BOARD: The Board shall include a minimum of four members, including a president and a treasurer, and a maximum of 20 members. The board shall have the authority to appoint such other officers as it deems advisable. The president may serve for up to two consecutive terms of one year each. Other officers may serve indefinitely if they are so elected. The Vice President shall be considered the "President Elect". Past Presidents and board members who have served at least 6 years in office shall be considered ex-officio board members.
V. REQUIREMENTS OF BOARD: Board members (including ex-officio) must plan and execute at least one event per year in order to remain in good standing. Co-chairs of events will be considered to have fulfilled their requirement. Members who cannot fulfill this requirement may be asked to step down in order to open a space for a new board member. Members must attend at least half of the regularly scheduled meetings. This requirement is waived for ex-officio board members.
VI. MEETINGS: The Board shall meet at least 6 times per year, from August through May. Meetings shall include an event planning meeting in August, and a more long-term, general planning meeting in the spring at least every other year. These two meetings shall be considered mandatory for all board members, including ex-officio members, and are excused only at the discretion of the president.
VII. ELECTIONS: Election of new officers shall take place each spring, no later than April 1. All board positions are self-nominated. The Secretary shall receive nominations no later than March 1. Elections shall be conducted by e-mail by the Secretary for any position for which there are 2 or more nominations.
VIII. DUES: Dues shall be assessed each club member, according to a rate established by the Board.
IX. AMENDMENTS: These bylaws may be amended at any time by a 2/3 vote of the Board.

SCW Board Position Descriptions
President
Primary liaison between local club and SAA. The president plans and runs the monthly board meetings, manages the club calendar, oversees all event planning, and ensures that the club keeps moving forward. Ensures that all paperwork is completed and returned to Stanford in a timely manner. Prepares information for Membership mailer.

Vice President
The VP is the President-elect. Can either work as co-president or as "second in command". President and VP work together at the beginning of each term to determine the best way of managing the work load. VP should learn all of the "ropes" during the year to ensure a smooth transition in the fall.

Treasurer
The Treasurer duties include managing the SCW bank account, making deposits, writing checks, maintaining accounting records, preparing annual reports for Stanford and providing information as needed. All SCW income is deposited to and all expenditures are paid or reimbursed from the SCW bank account. All records are available for review.

Membership
The Membership director receives all new and renewing member dues and information in the fall. Inputs all data into database system and checks for changes/accuracy. Maintains a historical database with at least 3 years previous membership. Forwards checks and member lists to Treasurer. Continues to collect membership renewals as people renew at events. Takes all inquiries from current and past members regarding status, payment, changes and updates. The Membership director maintains a printable database from which mailing labels for all local events are printed. Summarizes membership statistics for board meetings and SAA needs. Sends membership summary, including final roster, to SAA in the summer. Hosts the SCW email mailing list. Produces the biannual Member Directory, publishes it and distributes to the member base.

Secretary
Takes minutes at all board meetings and distributes them via email. Manages nominations and elections of board officers in the spring. Maintains hard copies of event reports for historical purposes.

Webmaster
Develop and maintain the SCW website. Servers are hosted and maintained by Stanford. The Webmaster is responsible for developing and posting all content for the site. This occurs on an ad hoc basis; as events occur or changes happen, the website needs to be updated. Liaison with counterparts at Stanford University to ensure the SCW website is integrated with Stanford's official alumni site. Own the "look and feel" for the SCW site and modify as necessary to look cool. Position requires someone willing to learn Dreamweaver.

Outbound Communicator
Responsible for collecting all local event information for SCW, distributing it at timely intervals to SCW membership by email and mailed paper bulletins as needed, and sending event information on to Stanford for inclusion in Stanford-Where-You-Live monthly emails. All email invitations, reminders, etc. go through this person for final review for policy compliance and clarity.

Cardinal Young Alumni (C-YA) Coordinator
Plan and implement events targeted at alumns who have been graduated from Stanford within the last 10 years (or who are young at heart). Coordinate monthly C-YA Pub Nights. Maintain email distribution list.

Admissions Office (APIP) Liaison
One board member should be a member of the Admissions Office Volunteer group and/or work closely with the APIP Coordinator to pass Admissions event information to the board. SCW co-sponsors the annual spring admit reception with the APIP group.
